Invite parents by entering their email from your Advisor dashboard. Once they accept and put in their records, you have shared access to their Paper Trail.
No. Using KidvoKit takes no more effort than forwarding emails or uploading files to a shared folder—the kinds of steps you’d already be asking families to take. The difference is that KidvoKit automatically organizes everything into a clean Paper Trail instead of leaving you with scattered files. For families who want to make it even easier, they can set up Gmail sync once, and KidvoKit will keep their binder up to date with nightly updates—no extra steps required.
No. Gmail sync is the easiest option, but clients can also forward emails, upload files directly, or connect Google Drive.
When you disconnect from a client, they keep their Paper Trail. Families can continue using KidvoKit on their own, or stop entirely.
KidvoKit uses AI to classify documents into categories like IEPs, evaluations, progress reports, and correspondence. Everything is placed on a timeline using dates from the documents themselves.
Google Drive is great for storage, but it leaves you to create structure and timelines manually. KidvoKit is purpose-built for special education. It automatically sorts, builds a chronological view, and pulls out key details so you don’t spend hours digging.
Yes. You can import existing Google Drive files or add new ones as they’re created. KidvoKit captures a snapshot for a permanent record, while still linking back to the live file.
Yes. You can write notes yourself for any paper trail or have AI create your first draft. You can also keep case-level notes in your Client Memo.
The Records Summary gives you a snapshot of a student’s file: eligibility history, evaluation dates, service changes, and goal highlights. It’s a fast way to orient before a full records review.
Yes. You can export or print the Story view for handy data highlights at meetings. You can also copy sections of the Records Summary to use in your own reports.
Not really. CRMs are built for scheduling, invoicing, and contracts. Some include client portals, but those are usually limited and not designed for the complexity of special education records. KidvoKit focuses on the advocacy side: automatically creating a usable IEP binder, organizing documents into a timeline, surfacing key details, and supporting records review. Many advocates use KidvoKit alongside a CRM—CRM for business logistics, KidvoKit for the actual casework.
All records are encrypted, and KidvoKit never sells or trains external AI systems on your data. Google has audited our security practices as part of Gmail integration approval.

You have several options, and most families use more than one:
Gmail sync makes copies of emails from/to selected contacts in your Gmail. You specify the contacts that you want to sync. Then KidvoKit populates your paper trail with the emails and attached documents from only those contacts. KidvoKit will check your Gmail daily for new emails from those contacts to automatically keep your paper trail up to date.
Yes. You can add contacts to sync by going to your KidvoKit profile. You can always return there to add or remove sync’d contacts.
Only the people you choose. You can generate a secure link for your whole Paper Trail or for a single document. Syncing contacts does not give them access.
Yes. Each child has their own Paper Trail. You can also add nicknames or alternate spellings so the system recognizes when documents or emails refer to the same child.
You can change the category or rewrite the label for any document. Just click the edit button to see your options.
We currently accept PDF documents and emails. Other types of attachments will be noted in your emails but not stored in your paper trail. (Feel free to submit feedback in the app so we know if there are other formats that are important to you.)
The co-parent may have emails or documents that need to be added to the paper trail. Co-parents can forward those items to the paper trail (paper@my.kidvokit.com). The paper trail can also be viewed by the co-parent using their share link.
We use state of the art security and privacy technologies to protect your private information. We never sell or share your child’s information. We do not train AI models on your data. We’ve even passed a Google security audit to get our Gmail integration approved!
If your advocate sends you an invitation, you’ll receive an email to set up your child’s Paper Trail. Once you accept and set up your account, you and your advocate share access to the same organized timeline of documents.
Yes. Your Paper Trail always belongs to you. You keep access and can continue using KidvoKit independently or delete your account.
AI Notes scan IEPs, progress reports, and evaluations and highlight key details like service changes or progress on goals. You can edit or add your own notes.
Story View shows your notes on a timeline, creating a narrative of your child’s journey. It helps you see progress and changes without flipping through binders or multiple PDFs.
It can explain terminology, or answer questions about common special education approaches or interventions, or answer specific questions based on state rules, and more. You can use suggested questions from KidvoKit to get started or jump straight to your own questions.
You can start a conversation with the AI chatbot by typing a question of your own or by selecting a topic provided. You can start with selecting a question provided in KidvoKit and then ask follow up questions of your own by typing them in the chat. WIthin a chat conversation, My Rights will remember your prior questions and answers and use that to respond to the next question.
Yes we use key documents from your state’s department of education in order to tailor the answers to your situation. My Rights is currently available for Massachusetts and New York families. We anticipate adding more states soon!
No, the two tools are separate. We recommend providing some information about your situation to the chatbot for the most relevant answers. For example, if you wanted to know how to interpret something about your IEP, you might want to let the chatbot know a little about your student’s needs (without providing identifying information) before asking your question.
